Which batch?

Try allocating a quantity. Earlier-expiring available stock is picked first; quarantined stock stays out of the allocation.

01

Receive

Create an order or bring in a prescription from the clinical workflow.

02

Allocate

Allocate available stock batches to the requested medicines.

03

Bill & dispense

Complete billing and record dispensing against the allocated stock.

04

Reconcile

Handle returns, stock counts, and cashier close with the transaction history in view.

01 / Prescription to counter

Start with what the clinician ordered.

Bring outpatient prescriptions and inpatient medication orders into the pharmacy workflow. Staff can review the order, allocate stock, and progress through billing and dispensing. Allergy checks use recorded patient information, and an override requires a reason where an allergy match is raised.

  • OPD prescription and IPD medication handoffs
  • Recorded-allergy checks and override reasons
  • Full and partial dispensing

02 / Batch-level inventory

Keep the batch behind every allocation.

Stock is recorded by batch with quantities and expiry dates. Allocation supports earliest-expiry-first selection, while quarantined stock is excluded from the normal allocation pool. Stock adjustment and count sessions give the team a way to reconcile the records with the shelves.

  • Batch quantities and expiry tracking
  • Earliest-expiry-first allocation
  • Quarantine, adjustments, and stock counts

03 / Purchasing and returns

Follow stock beyond the sale.

The procurement workspace covers purchase orders, goods receipts, supplier returns, and payables. Patient returns and breakage write-offs are separate workflows. That gives the pharmacy a record of why stock came in, went out, or was removed from use.

  • Purchase orders and goods receipts
  • Supplier and patient returns
  • Breakage and stock write-offs

04 / The cashier’s day

Close with the transactions in view.

Open and close cashier shifts and compare recorded cash activity with the close. Pharmacy billing supports line-level tax information, while linked inpatient dispensing can contribute to the patient’s encounter charges. Review your tax, payment, and restricted-medicine settings during setup.

  • Cashier shifts and closing totals
  • Invoice and payment records
  • Department settings for controlled workflows

BEYOND THIS DEPARTMENT

How this department
works with the others.

Clinical teams send the medication request; pharmacy controls stock and dispensing. Where an order is linked to an admission, the inpatient account can receive the corresponding charges. The order, the stock movement, and the patient bill remain distinct records with a connection between them.

A CLOSER LOOK

Practical
questions.

Does sending a prescription reduce stock immediately?

No. Sending the prescription starts the pharmacy workflow. Stock allocation, billing, and dispensing are separate actions; dispensing updates the relevant stock batches.

Can we manage both patient and supplier returns?

Yes. Patient returns and supplier returns have separate workflows, alongside purchasing and goods receipts.

Can the pharmacy operate its own cashier shifts?

Yes. The pharmacy includes cashier shift opening and closing, with recorded cash activity available for reconciliation.
