First, agree what is going live

List your sites, departments and the workflows that must work on day one. A clinic starting with OPD has different preparation from a hospital adding admissions, theatres and emergency.

Write down who owns each decision. Your organisation should identify a lead for clinical work, reception, billing and technical coordination. Confirm the RAKT contact and responsibilities in the proposal.

Configure with a real operating day in mind

Set the organisation details, country, currency, timezone and patient numbering. Enable the departments you use, then configure staff access, doctors, fees, catalogues and stock as applicable.

Review printed bills and reports using fictional records. Confirm names, numbering, tax settings and required fields before live work begins. Department availability alone does not mean a workflow is ready to use.

Reconcile the data you bring across

Agree the exact source files, fields, date range, attachments and identifiers before scheduling a migration. Export availability and data quality depend on your current system.

Use a trial import and compare counts and samples. Record rejected rows, duplicate decisions and opening balances. Agree who signs off the results and what happens to records that cannot be imported. No universal one-click migration is promised.

Rehearse complete workflows

Use a returning patient, a consultation, an investigation, a medicine sale and a payment as test cases. Include an authorised correction or refund, so the team practises exceptions as well as routine work.

Assign each test to the staff role that will perform it. Record issues, resolve launch blockers, and repeat the affected test before signing off.

Make the launch decision explicit

Agree the launch date, final data cut-off, named contacts and escalation route. Document any workflows that will start later and how the team will handle them in the meantime.

Set measurable acceptance criteria: intended staff can sign in, required departments are configured, expected reports can be produced, and agreed test cases pass. Training, on-site work and launch support must be confirmed in the commercial scope.
