List what the price needs to cover

Hospital software pricing depends on the departments, users, locations, and services you need. A clinic, a hospital with several diagnostic departments, and a group of locations can require different configuration, data work, interfaces, and support arrangements.

Begin with the departments, locations, intended users, required workflows, and existing systems. Ask the supplier how its commercial model measures usage and what is included. Ask RAKT for a proposal covering your organisation’s requirements.

Separate recurring and one-time charges

Recurring costs can include the software subscription and agreed ongoing services. One-time costs can include implementation, configuration, data preparation, migration, training, and specific development or integration work. The way a supplier groups these items can differ.

Ask for the categories to be made explicit, even if they are included in a bundled proposal. Confirm renewal terms, the treatment of additional locations or users, and any conditions affecting future charges. A low first-year figure is difficult to compare with a proposal that includes a different scope.

List third-party and internal costs

An interface may involve another vendor. Devices, printers, network connectivity, messaging, payment processing, or external services can carry separate costs. Verify which party charges for each item and whether usage limits apply.

Your team also spends time preparing data, reviewing configuration, attending training, and accepting the result. Record that effort separately from the supplier’s price. An implementation budget is easier to manage when both external charges and internal responsibilities are visible.

Use the worksheet with your own figures

The calculator on this page estimates a planning total from the amounts you enter. It combines a one-time amount with monthly software and third-party amounts over the selected period. It does not fetch a quotation or send your entries to RAKT.

Enter values from a written proposal and label the currency consistently. Tax, financing, inflation, exchange-rate changes, and internal staff costs are not automatically included. If those matter to the decision, add them to your own financial model rather than treating the worksheet as a complete financial forecast.

Compare proposals on the same basis

Place the same departments, locations, migration scope, interfaces, training, and support requirements beside each proposal. Record inclusions and exclusions before comparing totals. Ask about data export and the arrangements that apply when the service ends.

Use a common review period and explicitly note assumptions. If one vendor has not priced an essential interface, its total is incomplete for your comparison. Mark unpriced items as unresolved and ask the supplier for the missing amounts.

Agree what must be delivered before payment

A commercial proposal and an implementation plan should describe the same work. Link significant deliverables to the evidence your team will review: a migrated sample, an accepted report format, a working interface, or a completed workflow rehearsal.

Confirm payment milestones and contractual terms with the people authorised to make those decisions.
